Terms and Conditions
Space will be held upon receipt of your initial deposit below. To lock in a group currency rate for International and Canadian travel, the deposit required is the greater of: 20% of land portion or 100% of all non-refundable costs plus 10% of total foreign currency needs. A signed credit card authorization is required for payments made by credit card.
For your convenience, prices shown reflect a 3.6 percent discount for cash. Payments using other methods, including credit cards will require full payment which include a 3.6% administrative fee.

**GROUP TRIP CANCELLATION POLICIES
**Initial deposit is non-refundable, unless due to the default of Ski.com or cancellation by Ski.com.
Cancellations received from time of booking up to,
90 days prior to departure: $50.00 per person plus any supplier penalties
89-60 days prior to departure: $100.00 per person plus any supplier penalties
59-31 days prior to departure: $200.00 per person plus any supplier penalties
30 days or less prior to departure: no refunds and no substitutions
Itinerary Deviations from group space made from time of booking up to, 60 days prior to departure: $100.00 per person plus any supplier penalties
59-31 days prior to departure: $200.00 per person plus any supplier penalties
30 days or less prior to departure will be calculated based on rates and availability at the time of request.
GROUP AIRFARE POLICY as of 02/13/2026

331 days prior to departure: 02/13/2026 A group consists of 10 or more passengers traveling together on the same plane. If the group falls under 10, seats will be canceled, and all penalties will apply if within utilization.
330 days prior to departure: 02/14/2026 A non-refundable booking fee will apply $100.00
300 days prior to departure: 03/16/2026 Initial deposit is due in the amount of $100.00
97 days prior to departure: 10/05/2026 The group must utilize 90% of the space held. Any cancellation made after this date a fee will apply. $100.00
45 days prior to departure: 11/26/2026 Final names must match the passport. If names do not match, passenger could be denied boarding or may have to purchase a new ticket at their own expense. Full TSA is required. IE: Passport Name – Date of Birth – Gender. Seats are available for purchase after ticketing and must be done via ski.com
44 days prior to departure: 11/27/2026 Ticketing is completed once final names are given. Once tickets are issued, they have penalties for cancellation and changes.

**
AIRLINE NAME LIST:** Please see above AIR RULES for deposit due date and amount, utilization detail, change and cancellation detail, and final name list due date. Airline tickets will be issued no later than 35 days prior to departure. Flight times, schedules and taxes are subject to change without notice. NAMES FOR AIRLINE TICKETS MUST BE IDENTICAL TO THE FIRST AND LAST NAMES ON EACH PARTICIPANT GOVERNMENT ISSUED Government issued ID TO BE USED AT AIRPORT SECURITY. PASSENGERS WHOSE NAMES DO NOT MATCH THEIR ID WILL BE DENIED BOARDING. WE ARE REQUIRED BY TSA TO COLLECT DATE OF BIRTH AND GENDER FOR ALL PASSENGERS.
**GROUP LODGING POLICY
**Alpina Eclectic Hotel – Group is not holding space – it will be confirmed upon receipt of signed contract and deposit.
Group can drop up to 20% lodging with no penalty based up to 91 days prior to arrival. Additional units can be added at contracted rate based on availability.
Check-in time is 4:00 PM and check-out time is 11:00 AM. One credit card per unit will be required from the unit occupants upon check-in for any incidental charges that may be incurred. Group is responsible for incidental charges. Lodging reserves the right, without liability, to provide the guest (for all or any part of the term of their reservation) with accommodations in rooms of equal or superior quality to those reserved in the same location. All reservations are also made subject to strikes, epidemic or pandemic, force majeure, failure to vacate as scheduled or any other conditions beyond the control of Lodging.
LODGING CANCELLATION
In the event of a Group cancellation occurring 0 to 30 days prior to arrival, liquidated damages in the amount of one-hundred percent of the Anticipated Room Night Figures will be due, plus applicable taxes and service charges.
In the event of a Group cancellation occurring 31 to 59 days prior to arrival, liquidated damages in the amount of fifty percent of the Anticipated Room Night Figures will be due, plus applicable taxes and service charges. In the event of a Group cancellation occurring 60 to 89 days prior to arrival, liquidated damages in the amount of twenty-five percent of the Anticipated Room Night Figures will be due, plus applicable taxes and service charges.
In the event of a Group cancellation occurring between the time of acceptance of this contract and 90 days prior to arrival, group can cancel at no penalty, less the non-refundable deposit.
**LODGING SECURITY DEPOSITS
**A credit card and driver’s license under the same name will be required from the unit occupants for each unit at check-in. This credit card imprint assures the property that the guests in the unit will cover any damages or charges incurred during their stay. A driver’s license is required to prevent credit card fraud. The lodging company has total discretion in charging for damage and the group is responsible for such damages or charges. Ski.com has no ability to reverse a charge levied by the lodging company. Ski.com will act on the group’s behalf to minimize any damage bills and to monitor damage charged versus damage reported at check in. Be aware, some damages are not apparent until the cleaning people have gone through the unit to clean, make beds, change linen, etc. Ski.com strongly recommends that each group of participants in a unit do a thorough walk-through at check-in and to report and photograph any pre-existing damage they find to avoid any monies being charged for damage not done by group.
**GROUP CHARTER BUS TRANSPORTATION
**Group charter bus rate is based on 40 pax on a 47 passenger charter bus. Gratuity not included in package price and is the responsibility of the group.
GROUP LIFT TICKETS – not offered at this time but this is an IKON pass destination
**You will be provided with a unique URL to purchase passes. Participants will receive a $40 Land package discount if they purchase a base Ikon pass or a $50 Land package discount if they purchase a Full Ikon pass using the URL provided.
**Group lift ticket pricing for is based on group rates, defined as 20 or more collectively in the group. If you fall below 20 group lift tickets, individual rates will apply and the additional rate will be applicable. Season passes will be available during online registration also and will count towards the group lift ticket count.
**CREDIT CARD PAYMENTS
**Visa, MasterCard, American Express and Discover are accepted. For your convenience, prices shown reflect a three percent discount for cash. Payments using other methods, including PayPal or credit cards will require full payment which includes a 3.6% administrative fee.
**TRAVEL DOCUMENTS/ REQUIRED DOCUMENTATION
**Within the US, air travelers are required to present government-issued Identification, such as a current driver license. International travel requires a passport and in some cases a visa. All participants are responsible for obtaining the required documentation. Incomplete documentation may result in denied boarding. Travel document requirements are subject to change at the discretion of appropriate government agencies or the air carrier.
Travel documents will be emailed approximately thirty days prior to departure. Documents will NOT be sent until payment in full is received from every member of your group, along with a completed reservation form for each passenger. All documents are sent to the group leader and not individuals. It is the group leader’s responsibility to distribute the documents to the trip participants.
**TRAVEL TRIP INSURANCE
**Ski.com offers optional trip insurance that is highly recommended. The insurance options will be offered to the group through the group agent and all information regarding availability, cost and coverage will be communicated to registrants though the group leader and/or registration website in order for the individual to choose whether or not to purchase the package. Payments must be made no later than final payment for standard insurance and within 24 hours of initial booking for Cancel for Any Reason insurance. Individuals will be responsible for submitting claims directly to insurance company.
**FORCE MAJEURE
**No damages may be claimed for any failure of performance by the group or any participant, their agents, attorneys, heirs, relatives or other potential claimants, occurring due to causes beyond Ski.com’s reasonable control, including, without limitation, force majeure, war, terrorist act, government regulation, riots, disaster, pandemic or epidemic, or strikes, any one of which affect the ability to perform hereunder. In case of a force majeure event, Ski.com shall provide prompt written notice to the group, use commercially reasonable efforts to mitigate the effect of such force majeure event, and resume performance as soon as possible.
**MISCELLANEOUS
**The individual cancellation policies of the lodging company will be communicated to attendees via the registration website. Ski.com reserves the right to change lodging accommodations to accommodations of equal or superior standards, if necessary, as a result of factors beyond Ski.com’s control, and upon written notice within 24 hours, if possible, of the change to the group leader.
Ski.com reserves the right to withdraw any tour due to factors beyond its control upon written notice to the group leader and attendees will be given a refund to the extent such refund is obtained from vendors and suppliers. Suppliers reserve the right to increase their prices without notice (i.e. fuel surcharges, change in lodging tax, etc.). Any increased costs of this nature will be passed on to the client.
Ski.com will maintain the confidentiality and privacy of all personal information received in accordance with applicable federal, state, local and foreign laws, rules and regulations, including compliance with PCI requirements applicable to credit card information and is responsible for any breach of such requirements.
**RESPONSIBILITY
**Trip cancellation, accident and baggage insurance are available and Ski.com strongly recommends that each participant obtain them. Ski.com is acting solely as an agent for the group in obtaining transportation, lodging and other services, and assumes no liability for any injury, damage, loss, delay or inconvenience caused by any act or omission of these independent suppliers.
**ACKNOWLEDGEMENT
**The performance of either party is subject to acts of God, war, disaster, government regulation, strikes, civil disorder, curtailment of transportation facilities, or any other factor preventing performance under this Agreement, including, without limitation, making it illegal or impossible to provide the facilities or to hold the trip. In the event of inclement weather or other causes or events beyond the control of Ski.com which results in delays, it shall not be the responsibility of Ski.com to pay for any additional costs and expenses, including, but not limited to, additional lodging, meals, transportation, or other expenses. This agreement is subject to Colorado law and venue is in Pitkin County, Colorado. Acceptance by signature below when returned to our office along with the non-refundable deposit establishes this program on a definite status and is a mutual commitment to this program.
**EXCLUSIVE AGREEMENT
**Once a group has signed this group reservation agreement the group agrees not to offer a competing trip with any other travel company. This contract is confidential and if for the exclusive use of you and your trip participants.
